Dear Kelly, We are genuinely sorry to hear that you are unhappy with your recent experience. We value our patients and take concerns about communication and customer service seriously. However, we would like to clarify several points regarding your concerns. You signed our Financial Policy on March 19, 2025, and again on May 21, 2026, which clearly explains our cancellation policy and the fee that applies when an appointment is cancelled with less than the required notice. The charge applied to your account was therefore not an unauthorized charge; it was a charge made pursuant to the financial policy that you signed and agreed to. We have also previously made several exceptions to our cancellation policy for you as a courtesy, despite late cancellations. We tried to be accommodating, unfortunately, we cannot continue making exceptions when the policy has been clearly communicated and acknowledged in writing. We are also concerned about the manner in which our staff member was treated during this interaction. Our employees are expected to treat every patient with courtesy and respect, and we expect the same in return. The conversation became sufficiently upsetting that a member of our staff was brought to tears. While we understand that policies can sometimes be frustrating, we believe respectful communication is important in every interaction. We would also like to point out that your previous experience with our practice was very different. You previously left us a positive 5 star Google review in which you praised our work and expressed how pleased you were with the care you received. We are proud of the care our team provides and regret that this particular situation has changed your perception of our practice and that you ultimately felt compelled to remove this positive review. We respect your right to express your opinion and share your experience. At the same time, we ask that any public statements about our practice accurately reflect the circumstances. Characterizing a policy-based cancellation fee as an “unauthorized charge” is not consistent with the signed agreement or our records. Our goal has always been to provide excellent care while treating our patients fairly and consistently. We remain committed to treating our patients with professionalism, transparency, and respect-and we expect that same level of respect toward our team.
